explains what data we collect, why, how we use it, and your rights.
1. Who we are
FPC Tool Hire is brought to you by Fixings & Powertool Center Limited, in partnership with
Brandon Hire Station. We are the data controller for the personal data described in
this policy.

2. What data we collect
When you browse the site:
- Technical data (IP address, browser type, device information) via cookies — see our Cookie Policy
When you contact us or enquire about hire:
- Name, phone number, email address
- Details of your enquiry
When you hire equipment:
- Name, address, contact details
- Proof of identity and address (as required under our Terms and Conditions of Hire)
- Payment details (processed securely — we do not store full card details)
- Company name and details, where hiring as a business
If you use the "Use my location" button to fill in your postcode, your device's
location is used once to look up the nearest postcode and is not stored or shared.
The resulting postcode is treated the same as one you type in yourself.
When you apply for a trade credit account:
- Full name and home address
- Business name, company registration number, VAT number
- Business address
- Contact phone number and email
- Photo identification (e.g. driving licence)
- Proof of address (e.g. utility bill)
We only collect ID and proof of address for the specific purpose of verifying identity
and assessing credit account applications. This is more sensitive information than we
collect elsewhere on the site, and we handle it with additional care as set out below.
3. Why we process your data and our legal basis

4. Photo ID and proof of address — how we handle it
Our online trade credit application form is submitted by email (via EmailJS — see
Section 5) directly to our sales mailbox. There is no separate document storage system:
any Photo ID or proof-of-address file you attach to the form is held only within that
mailbox, as part of the email itself.
Because this is sensitive personal data, we apply the following safeguards:
- The form is submitted over a secure, encrypted connection
- Access to the mailbox is restricted to staff who need it to assess your application
- We do not use this data for any purpose beyond identity verification and credit assessment
- ID and proof-of-address attachments are removed from the mailbox once a decision has been made on your application, and in any event within 30 days. This is currently a manual process carried out by staff, not an automated one.
- If your application results in an active trade account, the remaining application details (name, business information, and similar) are kept for the life of that account plus 6 years after closure, consistent with our hire contract records — again applied manually rather than by automated deletion. If your application is unsuccessful, those details are deleted along with the attachments, within the same 30-day period.
5. Who we share data with
We do not sell your personal data. We may share it with:

EmailJS Pte. Ltd., the email-delivery service used to send enquiry, contact, and trade
credit application form submissions — including any Photo ID or proof-of-address files
you attach — to our sales mailbox. EmailJS's servers are located in the United States,
which means this data is transferred outside the UK/EEA for this purpose. EmailJS is
required to apply safeguards recognised as adequate for this transfer (such as
Standard Contractual Clauses).
- Payment processors, to take payment
- Credit reference agencies, where relevant to assessing a trade account application
- IT and hosting providers who process data on our behalf under contract
- Authorities, where required by law
6. How long we keep your data
We retain data only as long as necessary for the purposes it was collected, including
to meet legal, accounting, or reporting requirements. Specific retention periods:
- Enquiry/contact form data: 12 months
- Hire contract records: 6 years, per accounting requirements
- Trade credit application documents (including ID): as set out in Section 4
7. Your rights
Under UK GDPR you have the right to:
- Access the personal data we hold about you
- Request correction of inaccurate data
- Request deletion of your data (subject to legal retention requirements)
- Object to or restrict certain processing
- Withdraw consent at any time (where processing is based on consent)
- Complain to the Information Commissioner's Office (ico.org.uk) if you believe we have mishandled your data
